CONTENT MANAGER

Business Area: Lead to Contract

Job Purpose/Mission/Summary:

The Content Manager’s main responsibilities are to curate RFP content in the content management system, provide technical support, and conduct training on the features of and updates to the content management tool. The internal users include, but are not limited to, the business proposal coordinators, the sales team and the rest of the members of the CFT. 
 
The Content Manager maintains the RFP database content to ensure it is comprehensive, correct, compliant, compelling, and up to date. To achieve this, the Content Manager will interface with Subject Matter Experts and various members of the sales teams to gather, revise, and upload the most up-to-date and compelling information from across the organization. Excellent communication, coordination and editing skills are required to be successful. 
 
The Content Manager will need to develop an effective knowledge of Lexmark’s offerings and capabilities, the RFP system, and its database, and be able to proactively identify and help close gaps in the information. Surveying and reporting on usage, expired content, and other aspects as needed, will be required on at least a monthly basis. 

Key Roles & Responsibilities:

  • Manages the end-to-end workflow of content management.
    • Builds, creates and/or uploads content in the database.
    • Creates reports on database statistics for review.
    • Reviews coordinator submissions from completed proposals to approve pieces that can be uploaded to the database.
    • Reviews content available in the database to ensure everything is updated.
    • Establish relationships with SMEs and agree on timelines for updating the pieces in the database. (assign specific SMEs).
    • Applies effective tagging of database entries.
    • Facilitates meetings with the coordinators to review status and gather updates to and feedback on RFP content.
    • Rewrites ad hoc content as necessary.
  • Manages all the administrative tasks related to the database.
    • Manage accounts for existing Qvidian users.
    • Be the primary resource person in training Coordinators, Writers, SMEs, Account Managers and other CFT members on how to take full advantage of the capabilities of Qvidian (the current proposal automation system) including but not limited to using Basic, Browse and Advanced Search, assigning, viewing and answering questions, and proposal project entry and management.
    • Do basic troubleshooting for Qvidian end user issues and escalate the user’s technical issues to the Qvidian Tech Support team for timely resolution, if necessary.
    • Provide timely notification to the users of Qvidian system updates and upgrades, planned maintenance and downtime.
    • Drive Quality and Continuous Improvement Initiatives.
    • Works with senior bid manager and manager to drive continuous improvement initiatives that will address concerns on improving productivity, efficiency and operational excellence.
    • Works with the senior bid manager and manager to develop the proposal desk's quality control process to ensure that the coordinators are meeting the requirements.
  • Manages all content for all RFP-related training materials.
  • Manages the RFP response template.

Education, Experience & Certifications Basic Requirements:

  • Willing to work night shift to support US and/or CAN business hours.
  • A bachelor's degree or higher from an accredited college or university.
  • At least 3 years’ worth of experience in journalism/business writing.
  • At least 3 years’ worth of experience in editing/copyediting.
  • At least 3 years’ worth of experience in project management.
  • Must have some experience in initiating/closing Operational Excellence-related projects.
  • Experience in working within an electronic database.
  • Capable of learning the Qvidian proposal system.
  • Proficient in Microsoft Word, Microsoft Excel (including the ability to create pivot tables, formulas and links), Microsoft PowerPoint, Adobe Acrobat.
  • Internet savvy/effective online research skills.
  • Ability to effectively communicate (written and oral) in standard business English (US and CAN, some UK).
