DESIGN PROJECT COORDINATOR

Job Purpose/Mission/Summary

As a member of Lexmark’s Global Marketing organization, the Design Project Coordinator will monitor and coordinate team member assignments across functional areas to maintain a steady manageable workflow. PC will coordinate with team members, including the Agile Project Lead, to proactively gather relevant and required information for scheduling and building agile sprints, working ahead of schedule to build a prioritized backlog of work. PC will monitor schedules closely to identify scheduling issues and collaborate with team members to find solutions. 

Key Roles and Responsibilities:

  • Work closely with cross-functional teams, including other PMs and designers to organize details for assignments.
  • Facilitate communication and collaboration among team members and stakeholders to ensure smooth project execution.
  • Assess workloads and identify under-utilization and over-utilization, then proactively work to balance assignments as needed.
  • Prompt team members to record daily hours spent on each project (can be an automated prompt).
  • Receive, assign, and facilitate adhoc project requests, determining priorities and timelines in coordination with manager.
  • Maintain the design backlog and ensure alignment with business goals.
  • Collaborate with managers and designers to surface backlog items.
  • Identify risks and impediments that may affect project delivery.
  • Work with the team to mitigate risks, resolve issues, meet deadlines, and ensure smooth hand offs.
  • Collaborate with Agile Project Lead and WF administrator to collect and analyze project metrics and produce reports.
  • Prepare regular status reports for managers and stakeholders.
  • Stay informed about industry trends, best practices, and emerging technologies.

Competencies, Skills, Knowledge and Abilities:

  • Strong skills with scheduling and workflows, preferably using Agile methodology
  • Effective communication and teamwork skills
  • Able to proactively identify issues and develop solutions
  • Understanding of team-based work, especially in a cross-functional environment
  • Capable of coordinating project timelines and prioritizing work
  • Setting priorities and organizing future work
  • Experience with project management tools, Adobe Workfront preferred
  • Preference for Agile certification

Education and Experience:

  • Graduate of a 4-year bachelor course
  • Minimum of 2-3 years job-related work experience preferably in a cross-functional environment.
